What does chasing volunteers actually cost you?
Nobody tracks the hours they spend asking, re-asking, reminding, and replacing volunteers, because it happens five minutes at a time. Slide to your church's size and see what a year of it adds up to.
Do the math
How much of your week goes to chasing people?
Between the asking, the re-asking, the reminding, and the last-minute replacing, each volunteer spot costs about 12 minutes of somebody's week. Slide to your church's size and see what you'd get back.
Time back every year
95
hours
That's more than two full work weeks you're not spending in group texts.
Where the time goes
Twelve minutes per spot, per week
That's our estimate for filling one volunteer spot by group text and phone, and honestly it's on the low side for the weeks someone cancels. Here's where it hides:
The ask
Texting or calling each person, one at a time, and phrasing it nicely so nobody feels cornered. Two to three minutes per spot if everyone answers, which they don't.
The re-ask
Half your messages get no reply. Now you're deciding: nudge them again, or quietly ask someone else and hope they don't both show up?
The reminder
Saturday night, going down the list: "still good for tomorrow?" Because last time you skipped it, two people forgot.
The replacement
Someone drops out Thursday. Now it's a mini phone tree: who's on that team, who's in town, who hasn't served three weeks straight?
About the math ✌
The calculator assumes each spot costs about 12 minutes a week to fill manually and about 1 minute with SimpleServ (you still pick the person; the asking, nudging, and reminding is automatic). So the savings are roughly 11 minutes per spot, times 52 weeks. It's rough math, stated honestly: your mileage will vary, but ask whoever does your scheduling and see if they laugh at the 12 minutes for being too low.
