Every feature

Everything SimpleServ does, in plain English

Volunteer scheduling for small churches: schedule requests go out by email, volunteers tap yes or no with no account needed, and you see who's actually confirmed at a glance. Here's the full list of what you get.

Scheduling

Build your Sunday in minutes, not evenings

From your very first service to the week your worship leader calls in sick, scheduling stays a two-minute job.

Set up your Sunday in one form

Brand-new churches get a single "Set up your Sunday ✌" form: type the service name, day, time, and the spots you need in plain words, like "Greeter x2, Sound, Kids x3". One tap creates the weekly service, all the positions, and the teams behind them. No setup maze.

Weekly services on repeat

Save your regular service ("Sunday 9 AM" with its usual spots) as a template. A one-tap "Quick add" button drops the next week onto the calendar, always offering the next Sunday that isn't scheduled yet. One-time services like Christmas Eve or VBS work too.

Schedule anyone into any spot

Every service is a card showing the date, each spot, and who's in it. Tap an open spot and pick a volunteer. The picker suggests people from the right team first and gently flags anyone already serving that day or marked away. It warns you, but never blocks you: you know your people best.

Fill this service ✌ (one-tap fair scheduling)

One button proposes a volunteer for every open spot at once. It picks fairly (whoever was asked least recently goes first), prefers people on the right team, and skips anyone who's away or already serving. You review the list, remove anyone, and one tap sends every request.

Statuses in plain English

Every spot is one of four things: Confirmed (they said yes), Waiting (asked, no answer yet), Declined (they said no), or Open (nobody asked yet). No jargon, no "pending."

Volunteer responses

Volunteers answer with one tap. No app, no account, no password.

The volunteer side of SimpleServ is an email and two buttons. That's the entire learning curve.

"Can you serve?" emails

The moment you schedule someone, they get a friendly email from "[Your Church] via SimpleServ" with the service, date, and role, plus two big buttons: "Yes, I'm in" and "Sorry, can't this time." One tap, done. The answer shows up on your dashboard instantly.

Volunteers never need to log in

No account creation, no app to download, no password to forget. Every volunteer gets personal magic links that just work, on any phone.

Changed their mind? No problem

Volunteers can reopen the link and switch their answer any time. You always see the current truth.

Personal schedule page

Every volunteer has a permanent link (in the footer of every email) showing all their upcoming assignments, with "Answer this one →" shortcuts for anything still waiting.

"Going to be away?"

On their schedule page, volunteers can mark dates they'll be out of town. Those dates feed straight back into your scheduling picker, so you'll see "away that day" before you ask.

Add to calendar

After saying yes, volunteers get an "📅 Add to my calendar" button that works with iPhone, Google, and Outlook calendars.

Automatic follow-ups

Never chase anyone again

The nagging, reminding, and scrambling for subs happens automatically, so you don't have to be the bad guy.

Auto-nudges

Starter & Pro

If someone hasn't answered after 48 hours, SimpleServ sends one polite reminder automatically. You don't have to remember, and you don't have to be the nag.

"You serve tomorrow" reminders

Starter & Pro

The day before each service, everyone who's confirmed gets a short reminder email. Fewer Sunday-morning no-shows.

Instant decline alerts

The moment someone says "can't this time," every admin gets an email with a "Find a sub" button that jumps straight to that spot so you can ask someone else, days before Sunday instead of during the pre-service scramble.

The dashboard

Know where Sunday stands at a glance

One screen answers the only question that matters: is Sunday covered?

A headline in plain language

The dashboard opens with one sentence computed from your real schedule: "Sunday's coming. You're 1 person short." Or "Waiting on 3 answers." Or "You're all set ✌"

"Needs your attention"

Declines and unfilled spots surface in one list, each with a button that jumps to the exact spot so you can fix it. Nothing hides in a spreadsheet.

The fill meter

Every service shows a row of small colored segments, one per needed spot. Green means confirmed, amber waiting, red declined, gray open. One glance tells you if Sunday's covered. When a service goes fully confirmed, the meter glows green.

Schedule right from the dashboard

The dashboard's service cards are fully interactive: you can fill an open spot without going anywhere else.

Getting-started checklist

New churches see "Three steps to your first scheduled Sunday": add volunteers, set up your Sunday, schedule someone. Steps tick off as you do them, and the card disappears when you're rolling.

Your volunteer list

Your whole roster, out of the spreadsheet

Everything you know about your people, in one searchable place.

Everything in one place

Names, emails, phone numbers, and team memberships, searchable and filterable by team.

Import your whole spreadsheet at once

CSV import brings in your existing list in one go: name, email, phone, teams. Teams you mention are created automatically, and duplicate emails are skipped. Your group-text era ends in about a minute.

Teams, without the homework

Teams (Greeters, Sound, Kids…) power the smart suggestions in the scheduling picker, but they're optional. Small churches can ignore them completely and everything still works.

The message log

"I never got it" takes seconds to check

Every email, logged

Every email SimpleServ sends (schedule requests, nudges, reminders, decline alerts) is logged on the Messages page: who it went to, when, and whether it sent. If a volunteer says "I never got it," you can check in seconds.

Usage at a glance

Usage meters in the sidebar show how much of your monthly email allowance you've used, so there are never surprises.

Team accounts & settings

Share the load, keep it simple

Bring in a co-leader without a permissions matrix, and rest easy about your data.

Invite a co-leader

Add more logins as your plan allows: pick Admin or User, copy an invite link, and send it however you like. Opening the link shows "Join [your church]" and lands them right in your account.

Two roles, kept simple

Admins control everything including billing. Users handle day-to-day scheduling. The person who signs up is the first admin.

Your church's data is private

Every church's volunteers, services, and messages are isolated at the database level (row-level security). One church can never see another's data, period.

The basics done right

Email + password login, a passwordless "email me a sign-in link" option, a forgot-password flow, and a light/dark theme that follows you across devices.

Built-in support

A "Need a hand?" button in Settings sends a message straight to the founder. Replies come back to your inbox.

Plans & pricing
