Sound & tech team scheduling

Three techs, one board, zero Sunday surprises

Tech teams are the smallest pool with the highest stakes: not everyone can run the board. SimpleServ makes every ask count, spreads the load fairly across your few trained people, and warns you early when your only option can't make it.

Sound familiar?

Running a tech team on three people

  • You have exactly three people who can run the board, and one of them travels for work.
  • When the sound person cancels, you can't just grab anyone from the lobby: the sub has to actually know the system.
  • Your most reliable tech is 16, your backup is 67, and no single tool seems built for both of them.
  • The "who's on sound this month" text thread is also the "why was the mix muddy" thread, and things get lost.
  • Slides, livestream, and sound are three different jobs that everyone treats as one person's problem.
  • You don't find out about a conflict until Wednesday rehearsal.

How SimpleServ helps

Covered by Tuesday, not scrambled by Sunday

A small pool, managed carefully

With three techs, every ask counts. SimpleServ shows you who's away, who's already serving elsewhere that day, and who was asked least recently, before you send the request. No wasted asks, no accidental every-single-week on your one faithful tech.

Separate spots for sound, slides, and stream

Set up your service with the actual tech positions you run: "Sound, Slides, Livestream." Each one shows its own confirmation status, so "tech is covered" stops meaning "one person is doing three jobs."

Answers that fit how techs live

One email, two buttons, answered from a phone in fifteen seconds. Your 16-year-old and your 67-year-old get the identical experience: no app, no account, no password.

Early warning when your only option cancels

A decline triggers an instant email to every admin with a "Find a sub" button showing which other techs are free that day. When the pool is three people, finding out Thursday instead of Sunday is everything.

Common questions

What coordinators ask us

Can I limit spots to people who are actually trained?

Put your trained techs on a Sound team, and the scheduling picker suggests them first for sound spots. It warns rather than blocks, so in a pinch you can still schedule anyone you trust.

We only have two or three tech volunteers. Is this overkill?

The smaller the pool, the more each confirmation matters. Knowing on Tuesday that your only sound tech can't make it is exactly the problem SimpleServ exists to solve. The Free plan covers up to 5 volunteers if tech is all you schedule.

Does it handle rehearsals too?

Services are just dated events with spots, so a Thursday rehearsal can be scheduled the same way as a Sunday service, with the same one-tap confirmations and reminders.

Can the same person be on sound and another team?

Yes, volunteers can be on any number of teams. If they're already serving somewhere that day, the picker flags it before you ask, so double-booking becomes a choice instead of a surprise.
