Your church's data is your church's data

This is the plain-English version of how SimpleServ handles data. We wrote it ourselves to be read, not skimmed past. The short version: we collect what we need to run the service, your volunteer roster belongs to your church, and we never sell anyone's data to anyone.
What we collect
Your account: when you sign up, we collect your name, email address, church name, and a password (stored hashed, never readable by us). If you use the "email me a sign-in link" option, we just use your email.
Your volunteer roster: the names, email addresses, phone numbers, and team memberships your church enters or imports. You control this data: you add it, you can edit it, and you can delete it. We act as a processor of this information on your church's behalf.
Scheduling activity: the services, positions, assignments, and responses (confirmed, waiting, declined, open) that make the product work.
Email delivery logs: for every email we send on your behalf, we log who it went to, when, and whether it delivered, so you can answer "I never got it" in seconds.
Billing: payments are handled by Stripe. We never see or store your card number; we keep only your plan, billing status, and invoices.
Not much else: we don't run third-party advertising trackers on the app, and the marketing site stores only small preferences (like your light/dark theme choice) in your browser.
How we use it
To run SimpleServ: sending schedule requests, nudges, and reminders; showing your dashboard; processing responses; and answering support messages. We may email you about your account or important product changes.
What we never do: sell data, rent lists, or email your volunteers anything except the scheduling messages your church triggers. Volunteers are your people, not our audience.
Volunteers, specifically
Volunteers never create accounts or passwords. They receive emails because their church scheduled them, and they respond through personal magic links. Every email includes a link to their schedule page, and a volunteer who wants their information removed can ask their church (who can delete them in seconds) or email us directly.
How it's protected
Every church's data is isolated at the database level using row-level security: one church can never see another's volunteers, services, or messages. Data is encrypted in transit, and access to production systems is limited to the people who run the service (which is a very short list).
Who else touches the data
We use a small set of service providers to run SimpleServ, each only for its job: hosting and infrastructure (including our database), Resend for sending email, and Stripe for billing. They process data on our instructions and don't get to use it for their own purposes.
We disclose data if the law genuinely requires it, and that's the only other case.
Your choices
You can edit or delete your volunteers, services, and account data inside the app at any time. Downgrading or letting a trial lapse never deletes anything. If you want a copy of your data or want your account fully erased, email us and we'll take care of it.
Changes and contact
If this policy changes in a way that matters, we'll say so plainly (an email to account holders, not a silent edit). The date at the top always reflects the latest version.
